Plan a clear handoff when a processor is away.
Give the backup a clear view of open work and what they may do. A forwarded inbox is not enough.
Start with the article →Make the backup role usable.
Plan cover while the regular processor can still answer questions. Name the backup and say which decisions they may make. List the tasks they can do. Keep questions for the loan officer, manager or lender separate. The backup needs to find the next step, as well as read the file.
Check access through the approved process. Never share passwords to make a handoff easier. Show where to find requests, replies and open conditions. A person with the right access should find the latest details there. They should not have to search through private messages.
- Name the backup and who to ask for help.
- Point to the source of each open task.
- Note any known changes that may arrive while the owner is away.
Try the plan with a fictional file.
Imagine a third-party item is due while the processor is away. Who checks that it arrived? Who reviews it? Who needs to know if it is late? “Waiting on an item” leaves too much unclear. An item can arrive before it has been reviewed or accepted. Keep those steps separate and name who has the right to decide.
Use a fictional file to test the plan. Ask what the backup would do if a reply failed to arrive, details conflicted or the closing plan changed. Treat gaps as useful findings. Resolve them before the regular owner leaves.
Make the return handoff explicit.
When the processor returns, review completed work, open tasks and decisions others made. Flag changed instructions and unanswered questions. Confirm who owns each next step. End temporary access through the approved process when it is no longer needed.
CISA offers advice on safe sign-in and requests that look suspicious. It does not set a mortgage absence process. This guide helps you plan the work. Use it with your access rules and the duties you have agreed with any processing firm.
Plan both ends of the handoff.
A planning example for temporary cover. Follow your agreed scope and access rules.
Before the absence
Name the backup, confirm approved access and point to each open action.
During cover
Keep replies and changed instructions in the working record. Send decisions to the person with authority.
On return
Confirm who owns unfinished work. End access that is no longer needed through the approved process.
A change in task owner does not itself change who may make a lending decision.
Put it to work.
Plan how cover starts, what happens while the owner is away and how work goes back to them.
