When a closing plan changes, the important question is what must be reconfirmed.

Confirm the change before forwarding it.

A new date in a message may be a request, proposal or confirmed change. Find out which before changing the working record. Record the source and who confirms the plan. Without that context, a proposed date can look like a final instruction.

If messages conflict, ask the right coordinating party to resolve them. Do not choose the newest message just because it is newest. Keep the old plan, proposed change and current confirmed instruction distinct. Show why the action changed.

  • Confirm whether the new plan is proposed or agreed.
  • Identify the authoritative source for the change.
  • Record which confirmations must be revisited.

Follow the change through the work.

Imagine a fictional closing moves because an item is late. Updating the calendar is not enough. Who needs the new plan? Who checks the open item? Does the lender or disclosure owner need to review an instruction? Those parties decide what the change means for their work.

Write a short handoff with the confirmed change, open questions and follow-up owner. Do not say “no further action needed” unless the responsible person has confirmed it. An update can report their decision without making it for them.

Confirm the revised plan was understood.

Agree how the team confirms receipt of a major change and where to find the current plan. A sent message alone does not prove understanding. Remove old instructions from active checklists through the approved process. Keep records your organization must retain.

CFPB TRID materials link to disclosure rules and official interpretations. They do not show that every date change has the same effect. Have the responsible person assess timing or disclosure questions. Use the handoff to route questions, record answers and confirm each owner’s next step.

Put it to work.

Treat a changed date as a coordination event with a source, affected owners and reconfirmed instructions.
