Build a closing coordination checklist around owners.
A closing plan needs more than a date. It needs agreement on who confirms each dependency.
Start with the article →Start with what must be confirmed.
A proposed closing date is a plan, not proof that all requirements are met. List what each party must confirm and who will ask. Keep the current instruction and its source visible. The team needs to tell an agreed plan from an assumption.
A checklist cannot decide underwriting, disclosure or settlement questions for the people in charge. Show what is known, what stays open and who can resolve it. Processing coordination helps people share that information. It does not give approval to proceed.
- Identify the current closing plan and the person confirming it.
- Name the owner of each open dependency.
- Agree how a changed instruction reaches everyone affected.
Check the difference between ready and expected.
In a fictional case, the team expects a final item before closing. Show it as expected. Name who checks receipt and who decides if it meets the requirement. Do not mark the task complete before those steps occur.
Review the plan with the loan officer and other coordinating parties. Check that everyone uses “ready” the same way. Record the next update point and who can help with a blocked task. Keep sensitive file details in the approved system, out of planning worksheets.
Keep disclosure questions with the right owner.
The CFPB’s TRID resources link to integrated disclosure rules, interpretations, forms and implementation materials. They help you find the relevant authority. They do not decide which rule applies to a transaction. Take timing and disclosure questions to the person responsible for applying those rules.
Use the planner to prepare questions about roles and contact. Check the plan against current lender instructions and the parties’ actual duties before relying on it. If one task changes, recheck the confirmations that depend on it. The first checklist is not fixed forever.
Put it to work.
A closing checklist should make unresolved dependencies visible and assign the next confirmation.
