Escalate a processing issue with a clear decision request.
Escalation works best when the receiving person can see the issue, its consequence and the decision they are being asked to make.
Start with the article →Recognize when another reminder will not help.
A routine request with no reply differs from a dispute over who owns it. The first may need a reminder; the second needs a decision. Look for conflicting instructions, a missing owner, unclear authority or a changed dependency. Name the gap before sending another message.
Use the escalation route in your brokerage’s process and service agreement. Take a workflow issue to someone who can resolve it. Use the approved incident-response process for a suspected security incident. Urgency is not a reason to move sensitive details to a less controlled channel.
Prepare a brief that asks for a decision.
In a fictional case, the loan officer and processor each think the other owns follow-up. State the open task, the conflicting views and who can settle the question. Do not assign blame or claim an effect you have not verified.
State what has been tried and where the instruction came from. Explain what is blocked: for example, a review cannot start until an owner is named. Label any suggested next step as a proposal and keep it within your role. Ask for a decision you can record and confirm.
- Verified issue and supporting record
- Known dependency and remaining uncertainty
- Action already taken
- Decision needed and authorized recipient
- Person who will carry out the resulting action
Return the decision to the working record.
Record the answer in the system where the team manages the file. Confirm that the next owner understands the task. Closing a message thread does not close the work if the person who needs to act has not seen the answer.
CISA offers general security guidance. Fannie Mae’s outsourcing guidance covers seller oversight within its framework. Neither sets your escalation chain. This is an editorial planning checklist. Keep lender decisions, formal compliance questions and incident response with the authorized people and processes.
Put it to work.
Escalate the decision gap, then carry the authorized answer back into the working process.
