A working guide for mortgage teams

Compare processing proposals on equal terms.

Two proposals can look similar while leaving very different amounts of work with your team.

Compare the same workflow.

List the tasks your brokerage needs help with before you compare offers. Ask each firm what the offer covers. What is left out? What needs a separate agreement? “Processing support” alone does not tell you which follow-up or closing tasks are part of the work.

Use the written offer as evidence. Keep verbal answers separate until confirmed. If a task is not mentioned, mark it as an open question. Do not mark it included. Your comparison should not make claims that the written terms do not support.

  • Included task and starting condition
  • Work retained by your brokerage
  • Exception or change process
  • End-of-work record and return handoff

Give each answer a place.

Use these three groups for each offer. They describe evidence, not a provider rating.

  1. Written scope

Record the task, its starting point and the work your team keeps.

  2. Method shown

Note what you saw in a demo or fictional file walkthrough. A demo does not change the written terms.

  3. Still to confirm

List each open question and who will answer it. Missing details do not mean a task is included.

Ask each provider about the same task before comparing the answers.

Make retained effort visible.

In a fictional comparison, one offer says “condition follow-up” and another says “tracking outstanding conditions.” These may mean different work or just different words. Ask both providers to walk through the same case. Who makes contact, logs the response and decides it is resolved?

List the work your team would still do under each plan. Who checks the work? Who manages access or handles unusual cases? Include these duties along with routine tasks. Use your own records and written terms to assess cost. This guide sets no staff cost, savings estimate or target price.

Choose with the unknowns still visible.

Mark each point as confirmed, shown in practice or still unclear. Fewer unknowns may make an offer easier to assess. That alone does not make it the right fit. Decide which duties matter most and ask for missing evidence before you accept.

Fannie Mae’s outsourcing guidance explains how sellers must oversee work under its rules. It does not rate processing firms or choose an offer for your brokerage. Use it to ask which duties you keep. The worksheet helps you plan that discussion. It does not score firms or pick one based on a partial view.

Put it to work.

Check what each offer covers and which duties are still unclear. Then compare the business terms.
