Clarify closing document responsibilities before handoff.
“The documents are handled” is too broad to serve as a working instruction.
Start with the article →Name the action before naming the owner.
Preparing an item, arranging delivery, confirming receipt and reviewing it are different tasks. Do not assume one person owns all of them. Start with the actual workflow and instructions for the transaction. Name each task that needs an owner.
Use clear verbs. “Follow up for receipt” is a coordination task. “Approve” is a decision that may belong to someone else. If a role is unclear, ask the person responsible for the closing process. Do not fill the gap by expanding a role informally.
- Who prepares or supplies the item?
- Who confirms delivery and receipt?
- Who reviews it and communicates the next instruction?
Distinguish receipt from acceptance.
In a fictional case, a processor records that an item arrived. A colleague assumes it was reviewed. A clearer handoff separates “received” from “awaiting review” and names the reviewer. Each status should describe the actual work completed.
If a question comes up after delivery, record it and ask the responsible party. Do not change the document or interpret the rule without authority. If a new version arrives, identify it through the approved process and confirm the next review step.
Keep the role map beside current instructions.
The CFPB’s TRID resources include guidance and forms for the Loan Estimate and Closing Disclosure. They help locate disclosure references. A generic role map does not decide legal duties for a transaction. Ask the relevant lender, disclosure or settlement contact to confirm requirements and their assigned work.
Use the planner to find questions before the closing discussion. Review the role map with the actual parties. Keep it in line with current instructions. When work changes, update the task and owner. A job title alone does not prove someone accepted a duty.
Put it to work.
Assign preparation, receipt and review explicitly instead of grouping them under a vague document status.
