Make the post-close handoff clear and traceable.

The end of closing coordination should leave a clear record of what happens next.

Agree what is being handed over.

Agree what “post-close” means for this handoff. Name the work and when the receiving person accepts it. Separate routine follow-through from lender quality control, servicing or another party’s review. A shared label can hide very different duties.

Show where the records live, what questions remain and who can resolve each. Moving to a later stage does not remove open tasks. If work falls outside the agreed processing scope, name the party responsible. Do not bury it in a vague completion status.

  • Identify the receiving owner and the work they are accepting.
  • List open actions with their current instructions.
  • Confirm the point at which the handoff is acknowledged.

Explain unfinished work without restarting it.

In a fictional case, a routine follow-up stays open after closing. Tell the next owner what was requested, where the latest reply is and who must confirm the result. They should not need to repeat the request just to learn what already happened.

Review open items together when the context is complex. Separate work your team finished from work waiting on others. Leave unclear steps visibly open and assign someone to ask. An honest open question is more useful than a checklist that only looks complete.

Keep operating review separate from lender quality control.

Fannie Mae’s loan-quality resources give lender-focused context. A post-close handoff does not prove lender quality-control requirements were met. Confirm the scope of any processing review. Do not assume it includes the lender’s required quality-control work.

After the receiving owner accepts the handoff, update the approved record. Follow your access and retention procedures. This guide alone is not a reason to delete records or remove access. Name the owner and process that govern those decisions.

Put it to work.

Define the receiving role, preserve unresolved questions and confirm acceptance of the handoff.
