Prepare for a contract processor handoff.
Before the first working file changes hands, make the everyday operating decisions visible to everyone involved.
Start with the article →Assemble a working agreement people can use.
Turn the approved scope into a working record. Name the main contact, backup, approved systems and place to log the next step. Who speaks with the borrower? Which decisions need the loan officer or lender? Agree these roles before work starts.
Define the status labels the team will use. “Received” does not mean “reviewed.” “Sent” does not mean the other person accepted the work. Show how to record a missing item, a changed instruction and a question that needs help outside the usual process.
- Approved scope and named role owners
- System access approved for the intended work
- Status definitions and acknowledgment method
- Escalation contact and backup arrangement
Rehearse with fictional information.
Walk through a fictional file without using borrower details. Suppose a document is missing and the usual loan officer contact is away. Ask the person taking over to find the current instruction, name the next step and find someone who can answer the question.
Watch the process without coaching each click. If the person must search several messages, improve the record first. Check that access covers only what the role needs. The system administrator should manage accounts and permissions through the approved process. Do not use a shared login as a shortcut.
Review the arrangement while it is still new.
Set a time to review the first working handoffs. Look at unclear requests, repeated requests and work that returned to the brokerage. Use what you find to improve the process. Those examples alone do not prove that the whole working relationship succeeds or fails.
CISA’s Secure Our World material covers basic account and phishing awareness. Fannie Mae’s outsourcing guidance is a separate source on seller oversight. Neither gives your business a complete onboarding policy. Use your approved security process and the lender requirements that apply. Record role changes before relying on them.
Put it to work.
Make the first handoff a controlled rehearsal of an agreed process, with clear access and a known route for questions.
